You can see your office cameras live, but yesterday’s footage is missing. Does that mean the hard drive has failed? Not necessarily. Live view and recorded playback are different functions. A wrong search date, an event-only recording schedule or a storage problem can each leave you without the clip you expected.
This CCTV playback checklist helps UAE office and warehouse teams collect useful information before requesting an assessment. Menu names vary by recorder model and software version. Work only with your authorised account, and avoid changing settings before noting the current configuration.
1. Check the camera, date and recording location
Start with the exact channel and time period. A reception camera and a warehouse camera may have different recording histories. Check whether you are searching the recorder’s local storage, a camera memory card or an available cloud recording service. Seeing a live image does not confirm that footage was saved to the location selected for playback.
Compare the recorder’s displayed date and time with the actual time. If its clock is wrong, note the difference first: the footage may have been stored under another date. Do not change the clock and assume that older clips will automatically move to the correct timeline. Hikvision’s guidance on “no record file” specifically highlights incorrect recorder dates and overwritten footage.
2. Separate an app problem from a recording problem
If an authorised operator can access the recorder’s connected monitor, search for the same camera and time there. If the clip plays locally but not in the phone app, tell the technician that distinction. It narrows the investigation toward the remote playback path, account permissions or app configuration; it does not by itself prove that a camera needs replacing.
Take a clear picture of the error message and note which account or device cannot play the clip. Keep passwords, verification codes and private footage out of ordinary support screenshots.
3. Review the recording schedule for that channel
Continuous recording saves video during the configured hours. Motion or event recording depends on the relevant trigger and recording configuration. A blank period can therefore reflect the selected mode rather than a storage failure. Confirm the correct weekday, hours and channel; settings for one camera may not apply to the others.
An alert on your phone is also not proof that the corresponding video was recorded. Event arming, notification and recording are separate settings. Hikvision explains this distinction in its arming versus recording schedule guide. Ask your technician to review the configuration before changing it.
4. Read the storage status—do not format the drive
Check whether the recorder detects its hard drive and whether the storage screen reports a normal or abnormal status. Photograph the displayed status and any warning. A missing or abnormal drive needs assessment; it is not a reason to initialise, format, reset or replace equipment immediately.
These actions can affect existing footage. If an important incident recording may still exist, tell the technician before any repair or configuration change. Hikvision’s NVR troubleshooting manual identifies time settings, search conditions and hard-drive detection as separate checks for missing recording files.
5. Confirm how far back recordings are actually available
Do not assume that every CCTV system keeps the same number of days. Available storage, camera count, video settings and recording hours affect retention. When overwrite is enabled, older footage may be replaced as storage fills. An app notification cannot recover a clip that was never recorded or has already been overwritten.
After the issue is addressed, ask the authorised operator to play a recent clip from each required camera and check an older date within the agreed retention period. If an important clip is available, export it through the approved process and verify that the saved file opens. Keep access limited to authorised staff.
