A successful face, fingerprint or card scan does not, on its own, confirm that an attendance report is ready. If attendance records are missing in your office software, first identify where the information stops: at the terminal, during collection, or when the report is calculated.
For example, an employee may remember a successful morning scan while the monthly report shows a blank day. Keep the exact time and device location as evidence. Do not immediately replace the terminal or reset the system. This checklist helps UAE offices prepare a focused support request.
1. Separate the original event from the final report
Ask your authorised attendance administrator to look for the original event for one affected employee and one date. A report is a processed result; the underlying event is a separate piece of evidence. Hikvision’s iVMS-4200 documentation distinguishes event retrieval, attendance calculation and reporting. Menu names and available options depend on the software version.
Record whether the event exists on the device, appears in the software, and appears in the report. If you cannot check a stage, mark it as unconfirmed. This gives the technician a clearer starting point than “the attendance machine is not working.”
2. Compare the terminal and computer clocks
Photograph the displayed terminal date and time, then compare them with the reporting computer and the intended site time zone. Record any difference before changing it. Hikvision documents a Batch Time Sync function in iVMS-4200; an administrator should first verify the computer clock and select only the intended devices. Changing today’s clock is not proof that earlier records have been corrected.
3. Review the report filters
Check the selected date range, employee or department, and report type. A saved report layout can restrict the period shown. Hikvision’s attendance reporting documentation also separates transactions, time cards and check-in/check-out records. Compare the relevant view before assuming that a blank export means the original event was lost.
Use a small test range covering the affected day. Keep a copy of the existing report so that you can compare the result after authorised adjustments.
4. Check the assigned shift and attendance checkpoint
Confirm that the employee’s shift assignment covers the dates being reported and that the intended reader is configured as an attendance checkpoint. Hikvision’s setup guide highlights both schedule validity and checkpoint selection. An access-permitted message should not be treated as proof that these reporting settings are complete.
Use the organisation’s approved attendance rules. Do not switch everyone to a flexible timetable simply to make a report appear. Ask the administrator to review overnight shifts, breaks and exceptions against the actual working pattern.
5. Retrieve events, then calculate and compare
For supported iVMS-4200 configurations, the administrator can retrieve events from the device and calculate attendance for the relevant period before generating the report. Check that the required client software was running for its configured automatic calculation. An “online” device status alone is not an end-to-end reporting test.
Compare one known check-in/check-out pair with the resulting report. Record the test time, outcome and any remaining error. Do not change payroll records just to hide a technical fault.
Preserve records before troubleshooting
Avoid factory resets, deleting employees or clearing logs while investigating missing records. Use the supported backup or export process before configuration work, with access limited to authorised staff. For a support enquiry, send redacted screenshots or a demonstration record rather than employee biometric data, passwords or a full attendance database.
Request attendance-system support from ZD Computer Trading
Send the terminal model, software name/version, affected dates, number of devices and whether the issue affects one employee or the whole team. Include a clear error screenshot and, if useful, a one-minute fault video with private information hidden.
